Terms of Service

Last updated: 21 August 2026

These terms govern use of Rahmah Exchange, a platform for managing Zakat assistance applications. By creating an account or using the service, the organization and its users agree to what follows.

The service

Rahmah Exchange provides tools for receiving assistance applications, reviewing and approving cases, communicating with applicants, storing supporting documents, and reporting on assistance activity. We may add, change or retire features as the platform develops.

We provide software. We do not decide who receives assistance, verify eligibility, or determine whether a distribution satisfies any religious obligation. Those judgements belong to the organization and its committee.

Accounts and access

  • Staff accounts are created by an administrator at the organization.
  • Accounts are personal — credentials must not be shared between people.
  • Administrators are responsible for granting appropriate roles and removing access promptly when someone leaves.
  • Tell us without delay if you believe an account has been compromised.

Acceptable use

You agree not to:

  • Use the platform for anything unlawful, or to harass or exploit applicants.
  • Access records belonging to another organization, or attempt to defeat access controls.
  • Upload malware, or content you have no right to share.
  • Probe, scrape or overload the service, or interfere with other users.
  • Use applicant information for anything other than administering assistance.

Your data

Applicant records and case data belong to the organization that collected them. We claim no ownership. We process that data to operate the service, as described in our Privacy Policy. On termination, the organization may export its data; we will delete or anonymise it afterwards on request, subject to any legal retention requirement.

Confidentiality

Assistance records are confidential. Organizations must limit access to staff with a genuine need and must not disclose applicant information outside the process without consent or legal requirement. We apply the same standard to ourselves and support it in the platform through per-organization isolation and role-based access.

Fees

Paid plans are billed in advance at the rate agreed when the subscription starts. Fees are non-refundable except where required by law or expressly agreed. We will give reasonable notice before changing pricing for an existing subscription.

Availability

We aim to keep the service available and to schedule maintenance considerately, with particular care around Ramadan when assistance volumes peak. We do not guarantee uninterrupted availability and are not liable for downtime caused by circumstances outside our reasonable control.

Third-party services

The platform relies on third parties for hosting, storage, email delivery and payment processing. Their failures may affect the service; we choose providers carefully but do not control them.

Disclaimers

The service is provided "as is" without warranties of any kind, express or implied, including merchantability, fitness for a particular purpose and non-infringement. We do not warrant that the service will be error-free or that it will meet every requirement.

Limitation of liability

To the fullest extent permitted by law, Rahmah Exchange is not liable for indirect, incidental, special or consequential damages, or for lost profits or data. Our total liability for any claim is limited to the fees paid for the service in the twelve months before the claim arose.

Indemnity

The organization agrees to indemnify Rahmah Exchange against claims arising from its use of the service in breach of these terms or of applicable law, including claims about how it collected or handled applicant information.

Termination

An organization may cancel at any time. We may suspend or terminate access for breach of these terms, for non-payment, or where continued use would put applicant data at risk. We will give notice and a chance to export data where circumstances allow.

Changes

We may revise these terms and will update the date above. Continued use after a change means acceptance; material changes will be communicated in advance.

Governing law

These terms are governed by the laws of the State of New Jersey, United States, without regard to its conflict-of-laws rules.
